 ROIMS ­ Requisition, Order, Inventory Management System ­ real-time inventory control and analyses
 
ROIMS was built under contract with NIH (National Institutes of Health), National Heart, Lung, and Blood Institute.  The system was designed to monitor time-sensitive inventory aggressively in order to meet all of the Institutes requirements pertaining to this inventory.  The inventory in question is all of the materials required to conduct medical/biological experiments.  The inventory must be available in an uninterrupted manner in order to properly execute the experiment protocol.  A disruption in supply nullifies the experiment ­ resulting in unacceptable conditions.  Additionally, many of the materials used have a very limited shelf-life.  These are vaccines, antibiotics, antibacterial agents which expire very quickly.  The system is required to perform numerous tasks relative to inventory of this type.  The system has enabled the Institute to manage their experiment oriented inventory according to their special needs.  The system has also been recognized as reducing the time and effort required to manage inventory and has completely avoided experiment disruption due to inventory shortages.  Additionally, the system has resulted in a tremendous cost saving by avoiding the accumulation of inventory which has expired or is no longer needed by any ongoing experiments.  The system features include :

Generates Purchase Orders (PO).

Generates PO requests for Purchasing (printed/e-mail)

Tracks all inventory through stages

Quantity indicates reorder

Quantity in Open Order

Quantity on order from supplier

Quantity received, in stock

Quantity removed from stock

Items no longer needed

Generic Equivalence

Provides versatile reporting

Tracks all historical suppliers of Inventory items, enabling quick alternative sourcing for inventory.

Selects Vendors based on minimum total cost in PO, across all items.

Monitors buying levels for Budget control

Tracks inventory to experiment/account

Tracks inventory real-time

uses remote bar-code terminals in every stock room to record in/out.

Transmits real-time to central Database.

Uses walking inventory automated audits from Hand-helds

Handheld inventory is optionally used to update base levels of all inventory (Counted & Computed).

Indicates inventory levels by item, item equivalence and stockroom or entire stock (all stockrooms).

Automated Inventory Control

Auto-generates Purchase Orders for Inventory which falls below critical levels (considers levels on order).

Tracks Inventory Consumption

Quantities and Costs

Totals to-date, year-to-date, and month-to-date.


The system was written in Visual Basic 6.0 on Microsoft Access 2000, running on NT Workstation 4.0.  ROIMS has been enthusiastically employed by NIH since fall of 1999.  It is currently being interfaced to the NIH wide budget control system.
